Duties
Project Coordination & Management
- Coordinate internal and external resources to ensure projects remain within scope, schedule, and budget
- Schedule and coordinate site meetings, site surveys, and inspections with customers and appropriate team members
- Confirm daily job schedules with oversight from the Installation General Manager
- Partner with General Manager to stage equipment and materials for current projects
- File project permits and coordinates rental equipment as needed
Documentation & Record Keeping
- Organize and maintain accurate project files and documentation
- Prepare project progress invoicing for current projects
- Generate receiving reports per project
- Maintain records for field personnel training and certifications in coordination with the Safety team
- Maintain service records for department vehicles and equipment
Proposal & Quote Development
- Prepare equipment and/or installation proposals for customers
- Perform equipment research and obtain quotes from manufacturers
Inventory & Resource Management
- Maintain proper stock inventory levels in coordination with the logistics department
- Maintain adequate levels of tools, installation equipment, and PPE for field teams
- Schedule truck service for department assets and maintain service records
Administrative Support
- Assist with coding credit card transactions in Visa Spend Management system
- Assist Business Services with prevailing wage setup and/or project information and payroll requirements
- Serve as a point of communication between internal teams and external resources
Qualifications
Education
- High School Diploma or GED required
- Associates Degree or bachelor’s degree in construction field is a plus
Experience
- 2+ years of experience in project coordination or related field
- 2+ years of office and/or field experience in construction, installation, or service environment
- Experience in customer service-related field
- Experience coordinating teams and managing client relationships
Skills & Competencies
- Proficiency in Microsoft Office 365 (Outlook, Word, Excel, Teams)
- Ability to learn and use internal and external call management software
- Excellent organizational skills and attention to detail
- Strong problem-solving ability and critical thinking skills
- Effective written and verbal communication skills
- Reliable time management and ability to prioritize multiple tasks
- Ability to read blueprints and construction documents
- Proven success in a corporate setting, working with all levels of management
- Ability to pass State/Federal background clearances
Preferred Qualifications
- Knowledge of commercial food service equipment and/or commercial kitchen operations
- OSHA 10, preferably OSHA 30 Certification
- Experience with project invoicing and accounting functions
